Sharetech is the data controller for the personal data described in this policy. We are committed to protecting your privacy and handling your information in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

If you have any questions about this policy or how we handle your data, please email us at info@sharetech.uk.

2. The information we collect

This website does not contain contact forms or user accounts, so we only collect a small amount of personal data.

  • Information you send us. When you email us, we receive your name, email address, organisation details and anything else you choose to include in your message.
  • Technical information. When you visit the website, our hosting provider automatically processes technical data such as your IP address, browser type, device information and the pages you request. This is needed to deliver the website and keep it secure.
  • Cookie preferences. We store your cookie choices on your device so that we do not need to ask you again on every visit.
  • Optional cookies. If you give your consent, we may use analytics and marketing cookies as described in the cookies section below.

3. How we use your information and our lawful basis

  • To respond to your enquiry and discuss our services with you. Our lawful basis is our legitimate interest in responding to business enquiries, or taking steps at your request before entering into a contract.
  • To deliver services to our clients where an enquiry leads to an engagement. Our lawful basis is the performance of a contract.
  • To operate and secure this website. Our lawful basis is our legitimate interest in providing a reliable and secure website.
  • To understand how our website is used and improve our marketing. Our lawful basis is your consent, which you can withdraw at any time.
  • To meet our legal obligations, for example keeping business and accounting records.

We do not sell your personal data, and we do not use it for automated decision making or profiling that has legal or similarly significant effects.

4. Who we share your information with

We only share personal data where it is necessary, and only with trusted providers who process it on our behalf under appropriate contractual safeguards. These include:

  • Microsoft, which hosts this website on Microsoft Azure and provides our email and business productivity services through Microsoft 365.
  • Any analytics or marketing providers we use, but only where you have consented to those cookies.
  • Professional advisers, such as accountants and lawyers, and public authorities where we are required to do so by law.

5. International transfers

Some of our service providers may process personal data outside the United Kingdom. Where this happens, we make sure the transfer is protected by appropriate safeguards, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

6. How long we keep your information

We keep enquiry correspondence for up to two years after our last contact with you, unless it leads to an engagement. Client records are kept for as long as needed to deliver our services and for up to six years afterwards to meet our legal and accounting obligations. Hosting logs are retained by our hosting provider for a short period in line with its own policies. Your cookie preferences are stored for twelve months, after which we will ask you again.

7. How we protect your information

We use appropriate technical and organisational measures to protect personal data, including secure Microsoft 365 configuration, multifactor authentication and access restricted to those who need it. This website is served over an encrypted HTTPS connection.

When you first visit our website, we ask for your consent before setting any cookies that are not strictly necessary. You can accept all cookies, reject all optional cookies or choose which categories to allow. You can change your mind at any time using the link, which also appears at the bottom of every page.
